The election for the Grand Landings Master Homeowners’ Association Board of Directors will be conducted by secret written ballot using the new two-envelope voting process, as outlined in the Amended & Restated Bylaws .
Voting Instructions
- You may vote for up to five (5) candidates for the Board of Directors.
- You are not required to vote for all five; you may select one (1) to five (5) candidates.
- Ballots marked for more than five candidates will not be counted.
Submitting Your Ballot
- Complete your ballot and place it in the small inner envelope (no name on this envelope).
- Seal the inner envelope and place it inside the larger outer envelope.
- Write your name, property address, and signature on the outer envelope.
- You may mail your completed ballot — all it takes is one stamp!
- Or, you may bring it with you to the Membership Meeting, as long as it is fully completed and sealed in the outer envelope.
- Ballots not in the proper envelopes or missing signatures will not be counted.
Understanding Your Ballot Envelopes
The new two-envelope voting system is designed to protect the secrecy of your vote while also ensuring that only eligible members’ ballots are counted.
Inner Envelope – “BALLOT”
- This smaller envelope is marked “BALLOT.”
- After you fill out your ballot, place it inside this envelope and seal it.
- Do not write your name, address, or any identifying information on the ballot or on this inner envelope.
- This keeps your vote completely anonymous when the ballots are opened and counted.
Outer Envelope
- This larger envelope holds your sealed BALLOT envelope.
- On the outside, you must write your:
- Name
- Property address or lot number
- Signature
- The outer envelope allows the election committee to verify that the ballot came from a valid member before separating it from your identifying information.
- Once verified, the outer envelope is opened, the inner BALLOT envelope is placed in a separate container, and your vote remains confidential.
This two-step process ensures both security and anonymity, your ballot is counted, but no one can see how you voted.
Important Reminders
- You do not have to attend the Membership Meeting to vote; your mailed ballot counts just the same.
- However, we encourage everyone to attend to stay informed and take part in discussions on the meeting agenda.
- The election process and membership meeting quorum are separate:
- For the election, at least 20% of eligible ballots must be received.
- For membership business, a 30% quorum (in person or by proxy) is required.
